Execute a Right Preparation during Hurricane Season
Hurricane Events Action Plan is important to been prepared and provide guidance to all occupants of the organization. The Action Plan is intended to communicate the policies and procedures for all employees, visitors and contractors to follow. This written plan shall be made available to all permanent and temporary employees by the Human Resources Department.
Emergency Action Committee (EAC) will be appointed consisting of the Director/Manager of each department. Each member is charged with responsibilities to insure that specific actions are taken to safeguard employees, visitors and contractors the building structure, inventory, raw materials, production equipment and critical company information and the communications and computer network systems.
In addition to the Emergency Action Committee, Recovery Team Members will be appointed to insure the facility is quickly restored to full operating capacity after the event. In case of catastrophic damage, additional personnel will be requested to participate in the rapid recovery of your facility infrastructure.
Each member of EAC has their responsibilities in the event’s planning:
Security/Safety Manager shall:
- Meet with and designate emergency staff members at the beginning of each catastrophic events season and review the written emergency procedures manual. Any required modifications shall be incorporated into the plan prior to distribution.
- Insure that one member of each of the following departments shall be appointed to the staff: Engineering and Maintenance, Human Resources, Accounting Department, Production and Warehousing, Information Technology Department and Risk Manager.
- Insure that the minimum emergency equipment is available or acquired upon commencement of the hurricane season. Any missing or defective equipment or expired food stuff or batteries shall be replaced immediately, Basic Emergency Equipment:
- 100 Gallons Potable water and disposable cups/plates/utensils
- Industrial Grade First Aid Kit
- Adverse Weather Gear (Raincoats and Boots)
- One week Ready-to-Eat K-Rations for five (5) persons
- Portable Flashlights and required batteries
- Portable Radio w/ batteries
- Basic Tool Kit
- Rope or roll of 14 Gauge wire
- Plywood and Zinc panels
- Assortment Screws, Nails and Fasteners and tools
- Assorted sizes of plastic zip lock bags and cover sheets with rolls of water resistant adhesive tape.
- Ten (10) white plastic fifty gallon drums with lids to be utilized for storage of critical documents and electronic media.
- Actualize Emergency Telephone Call List of facility employees, Emergency Management Staff and Emergency Recovery Team Members.
- Human Resources Manager shall distribute actualized Hurricane Action Plan to employees.
- Distribute Emergency Call list of Emergency Management Staff and First Responders to security personnel.
- Human Resources and Emergency Management Staff members shall maintain a current list in their respective residences to include the official radio and/or Television station media that will be utilized to notify employees and clients of the temporary closing or re-opening status of the facility.
Engineering, Maintenance, Production and Warehousing shall:
- Remove, store or secure all exterior non-essential material that cannot be moved into the interior of the facility.
- Insure that all drains to include roof top systems around the facility are free of obstructions or debris.
- Inspect all windows and doors and insure proper operation and seal condition.
- Inspect all pumps and test any portable generators and insure maximum fuel levels are maintained and critical spare parts are available.
- Insure that all contractors secure materials and equipment at the end of each working day.
- All electrical power generating equipment will be tested at least monthly.
- Shall insure that all insurance policies including limits coverage, deductibles and conditions are up to date and update property photos and videos of critical structures and equipment and maintain a complete inventory to include receipts and invoices.
